
College Phone System and Voicemail Procedure - 61.12.06
College Policy Number/Title:
The telephone system and voicemail at Howard Community College is provided to facilitate the educational and business processes of the college. Employee use of the telephone system must be consistent with the mission, policies, and procedures of the college and comply with federal, state, and local laws.
Employees may occasionally use the college phone system to make personal local phone calls. Brief personal use of the phone system is acceptable for local calls as long as it is not excessive or inappropriate. Personal long distance calls are not authorized, unless prepaid using a calling card or other method.
Voicemail accounts may be issued to full-time and part-time employees. Voicemail accounts must be protected by a password, which must never be the same as the last four digits of the telephone number of the voicemail account.
The college does not routinely access the contents of employee voicemail messages. However, access may take place when required to protect employees or to comply with the law. Supervisors may request access to a voicemail account if there are compelling business reasons such as an unexpected, extended employee absence.
Played voicemail messages are purged from the system every 45 days.
