A.       Publications

Standard publications including the college catalogue, annual report, viewbook, profile, credit and non-credit schedules of classes, student handbook, brochures and other marketing materials are produced routinely by the staff of the office of public relations and marketing.

B.       Electronic Media

The public relations and marketing office will be involved in the planning, design and production of all electronic media, including websites, videos, CD-ROMs and computer presentations that serve to promote the college or will be viewed by the general public.

C.       Publications Planning

When the need for a publication is identified as complementing the college’s marketing and enrollment management strategies, services and assistance from the office of public relations and marketing will be provided in a timely manner with established deadlines.

D.       Publications Production Process

1.  Obtaining Approval for Production of Promotional Materials

To assure compliance with college and legal guidelines as well as consistency in content, format, and quality, the office of public relations and marketing will approve content and production of all promotional publications and electronic media intended for public distribution.

a.  Promotional materials include all non-instructional materials intended for distribution to or viewing by students, special target populations and the general public including:

1.)  Flyers
2.)Posters
3.)  Certificates
4.) Advertisements
5.) Invitations
6.)Newsletters
7.) Brochures
8.) Letterhead
9.)Business Cards
10.)  Websites
11.) Videos

b.  Exceptions include:

1.)  Instructional materials 
2.)  Research reports
3.)  Grant proposals
4.)  Department annual reports
5.)  Internal committee reports
6.)  Routine office correspondence
7.)  Business office forms

c.  All publication requests must be reviewed by the originator’s supervisor and/or vice president to determine department or division priority.

2.  Submitting Requests

Requests that have been approved by the administrator or vice president must be submitted to the office of public relations and marketing on a “Publication Request” form, available from the office of public relations and marketing, to identify:

a.  need
b. audience
c.   distribution method
d.  quantity
e.  budget

3.  Scheduling

Publication requests are approved and priorities established by the office of public relations and marketing based on:

a.  consultation with the requestor and
b.established marketing and enrollment management strategies.

4.  College Logo

The HCC graphic identity manual provides guidelines for the general use and most common applications of the college logo.  All requests for copies of or use of the college logo must be approved by the office of public relations and marketing.  Requests must include information about where the logo will be used and for what purpose.  The office of public relations and marketing will provide, if appropriate, copies of the logo to the requestor, along with any necessary information to ensure strict compliance with the graphic identity manual.
